Limit a personal access token to the required scopes and base resources. Plan record identity and validation before allowing the integration to write data.

Restrict the token to the required base

Airtable personal access tokens can be restricted by scope and resource. The token also depends on the permissions of the user who created it. Name that owner and plan what happens if their access changes.

Write down which fields the integration reads and writes. Keep sensitive fields out of the connection when they are unnecessary for the task.

Update one record for each request

A request tracker can receive approved enquiries and assign a status. Use a stable source identifier so a repeated event updates the same record instead of adding another row.

Define the allowed values for categories, owners and dates. A flexible table still needs clear data rules if other automations depend on it.

Check field changes and competing updates

Test a duplicate request, invalid field value, removed base access and a renamed field. Verify that the workflow preserves manual corrections where the team owns the field.

If multiple tools can update the same row, agree which update wins. Record timestamps or source references that help the owner investigate an unexpected change.

Plan for changes to the token owner

Record who created the token and which workflow uses it. If that person leaves or changes access, the team needs a way to reconnect without losing pending requests.

Keep a short field map with the handover. Include which system owns each value so a later sync does not undo a manual correction.
